The Law Society of BC is seeking a temporary, full-time Assistant, Records in our Privacy, Records & Information Management department for a 1-year term. Under the supervision of the Manager, Privacy, Records and Information Management, the Assistant, Records aids in the maintenance of the corporate records system including an electronic document and records management system (EDRMS). The Assistant is responsible for administrative duties in consultation with the Records & Library Technician. The Assistant assists in troubleshooting EDRMS issues under the guidance of the Manager, Privacy, Records and Information Management and the Records & Library Technician.
The duties of the position include:
Developing and reviewing procedures related to the maintenance and organization of the records system; recommending and - upon approval - implementing new office processes and procedures to promote efficiency.
Assisting in the maintenance of the corporate records program. Arranging for the destruction or archiving of files according to the retention plan. Assigning and reviewing document classifications and profiles for corporate records to ensure consistent application of the file plan. Correcting errors and edits profiles as required. Assisting with the development of new classifications and file parts within defined limits.
Assists in the file migration process as required upon the development of a migration strategy.
Exercises judgment and action within in established RIM procedures, requirements and policies.
Complies with security and privacy requirements and policies.
Supports Records & Library Technician in auditing EDRMS and Record Pro systems to ensure that file systems are identical.
Assists with EDRMS system-checks to ensure that documents related to LSIS case files are appropriately linked with case files numbers for both retention and accurate searching of records.
Assists with filing of library updates, including for satellite department collections
Provides back up support for the Records & Library Technician in the execution of duties related to the record-keeping maintenance of the DM system.
Prepares both electronic and paper files for retention and disposal.
Such other duties and RIM projects as required by the Manager, Privacy, Records and Information Management and/or the Director, Governance, Privacy and Information Management.
Qualifications
Diploma or certificate in Records Management or Library Technician program.
Minimum of one year experience in the records management, preferably in a government or legal environment. Familiarity with block numeric file classification scheme an asset.
Ability to quickly learn and adapt to new software applications related to document management is a must. Knowledge of OpenText eDocs DM RM preferred or comparable EDRMS software is an asset.
Strong MS Office skills and the ability to maneuver between applications with ease. Sound knowledge of business English, spelling, punctuation and arithmetic and modern office procedures and methods. Typing speed of 45 WPM.
Strong communication skills.
Self-starter and strong multi-tasking skills.
Accuracy and ability to maintain attention to detail when required.
Must be able to perform physical tasks, such as standing for long periods of times and lifting boxes up to 40 lbs.
The salary range for this position is $53,579 to $58,238.
